Job Responsibilities:-
Leadership Support:
- Travel Management - Responsible for managing travel (Domestic and International) includes Flights/Web Check-in/Hotel/Cabs/Forex/Travel Insurance/Visa/Matrix phones/Meeting rooms for Directors supported and for team as and when required; Support extended teams through system PO and query management
- Finance support – Raising PR/POs, Invoice tracking, PO receipting, follow up on payments, print, scan, file agreements and tax documents Calendar Management - Manage calendar, arrange meetings, book meeting/VC rooms (different locations), raise VC support requests and other administrative support activities
- Expense Management - Processing Expenses on ReKonnect for Directors and above.
Other administrative support:-
- Visitor Management - All end to end activities (pre-trip to closure of visit) - logistics arrangements such as access cards, meetings rooms, invites, infrastructure set up, ordering meals, accommodation & ground transfers
- Event Management - Managing events for the BU or function as SPOCs for firm wide events. End to end logistics management for all internal connect sessions, town halls by visiting leadership, offsite support, etc.
- Operational Activities – Manage centralized administrative BU activities – E.g. Vendor onboarding, Costs transfers (OPE), Trackers on visitors for their respective Directors. GDC leadership/Managers Birthday and Wedding Anniversary arrangements. Operational activities are generally ongoing activities in addition to secretarial specific activities.
- KPMG Systems – Acquire knowledge of KPMG tools and methodologies required for the job – E.g. ReKonnect, Concur, Swift, Yatra, Room booking, Support Central, Intranet Sites, etc.
- Corporate Functions – work closely with other enabling functions like Admin, Traveldesk, IT, Finance, HR, L&D, Risk and also co-ordinate with EAs from other BUs as necessary
Candidate qualification, experience and competencies required:-
Educational Requirements
- Graduate and 5+ years of post-qualification experience
- Experience Requirements and competencies
- Strong written and verbal communication skills
- Should have experience in supporting global leadership
- Good knowledge of MS-Excel, MS-PowerPoint and MS-Word
- Strong time management skills to meet challenging timeline
- Ability to multi-task given support is extend to multiple leaders
- Ability to build and maintain relationships within team and other departments
- Positive approach towards learning
- Should have attention to detail
